Organising a group trip from Mumbai sounds easy until you are actually doing it. Someone changes the headcount two days before. Three people live in Borivali, four in Navi Mumbai and the rest in Dadar. The route is jammed on Saturday morning, and nobody is sure what the fare includes. Most of the stress comes from planning mistakes, not from the trip itself.
This guide is for anyone planning a group trip from Mumbai by Urbania, whether it is an office offsite, a family function, a pilgrimage or a weekend getaway. It explains how to plan the day, how the fare is built, what to ask the operator before you pay, and how to avoid the mistakes we see every season.
We are Shelke Travels, and we have been running group travel across Maharashtra for more than 30 years. If you already know your trip and only want vehicle sizes and rates, go straight to our Force Urbania on rent in Mumbai page. If you are still planning, keep reading.
Why an Urbania Works Well for Group Trips
A group trip lives or dies on comfort. People forgive a late lunch, but they do not forgive five hours in a cramped, noisy cabin. The Urbania is built for this. The ride is steadier than an older style van, the cabin is quieter, and everyone gets proper legroom. That matters most on long highway days and for elders and children.
The bigger advantage is simple: one vehicle, one driver, one schedule. Nobody gets lost behind you, nobody waits at a toll plaza for a second car, and the whole group arrives together.
Step 1: Decide What Kind of Trip You Are Planning
Before you ask anyone for a quote, be clear about which of these four you need. The fare logic is different for each.
- A local day in Mumbai: Sightseeing, a corporate event or wedding transfers. Billing is usually by hours and kilometres.
- An airport or station transfer: A fixed pickup, a flight or train time and a lot of luggage.
- A one day outstation trip: Mumbai to Lonavala, Alibaug or Nashik and back the same day.
- A multi day trip or one way drop: Shirdi, Mahabaleshwar, Goa, or Mumbai to Pune.
Writing this down first makes every later decision easier, including vehicle size and how early you need to start.
Step 2: Count Heads and Luggage Honestly
Always count the real number of people, including children and anyone who might join late. Then think about luggage. Ten people with small bags and ten people heading to a wedding with suitcases need very different space.
A simple rule: do not plan to fill every seat on a day longer than five or six hours. Leave two or three seats free so people can spread out and bags are not on laps. If you are unsure which size fits your group, our Mumbai page explains the 9, 12, 13 and 16 seater options in detail.
Step 3: Plan the Route Around Mumbai Traffic
In Mumbai, the time you leave matters more than the distance you travel. A few habits help.
- Start before 7:00 AM on weekends: The Expressway and the Nashik highway fill up quickly on Saturday mornings.
- Avoid Friday evening and Sunday evening on popular routes: if your dates are flexible.
- Group your pickups by area: If your passengers are spread across the city, pick up the western suburbs together, then the central and harbour side, and keep Navi Mumbai and Thane for the end or the start depending on your route.
- Ask the driver for the best route on the day: Road work, rain and events can change what is fastest.
- Keep a return buffer: If anyone has a train or flight the same night, add at least one to two hours of safety time.
Ganeshotsav, Diwali and long weekends bring extra crowds and traffic restrictions in parts of the city, so keep your pickup plan simple during those weeks.
Step 4: Understand How the Fare Is Built
This is where most people get confused, so here it is in plain words. Group vehicle fares usually have a few parts.
- A per km rate or a day package: On our Mumbai page, the one day package counts a 300 km minimum and the two day package counts 600 km, at rates from ₹31 to ₹33 per km depending on the seat size.
- One way drops: For a drop in another city, the fare is quoted for the one way run, for example Mumbai to Pune.
- Extras at actuals: Toll, parking, state permit and driver night allowance are charged on top of the base fare.
- Extra hours: If the trip runs past the planned time, an hourly charge applies.
Here are two simple examples using the rate card on our Mumbai page.
A Lonavala day trip for 12 people: The round trip is under 300 km, but a one day package counts a 300 km minimum. A 13 seater Urbania at ₹9,600 works out to about ₹800 per person before toll and parking. Because you are paying for the minimum anyway, use the day well, with Karla caves, a viewpoint and an unhurried lunch, instead of rushing back.
A two day Shirdi trip for 13 people. A 13 seater on the two day package at ₹19,200 comes to about ₹1,480 per person before toll, parking and night allowance. Compared with booking several cabs, one vehicle keeps the group together and the cost easy to split.
These are planning figures. Always ask for the final written quote for your exact route and dates.
Step 5: Ask These Questions Before You Pay
A good operator will answer all of these without hesitation. Keep this list on your phone.
- Is the quote in writing, with the total and what is extra?
- What is the exact seat layout of the vehicle assigned to my date?
- Will I get the driver name, phone number and vehicle number before the trip?
- Is the minimum kilometre limit per day clear, and what is the rate beyond it?
- Which charges are at actuals: toll, parking, permit, night allowance?
- What happens if the plan changes, or if the trip runs late?
- What are the cancellation and refund rules? Read them before paying an advance. Ours are on our cancellation and refund policy and terms and conditions pages.
- Is the vehicle GPS tracked, and is there someone to call if there is a problem on the road?
Step 6: Get the Day Ready
A little preparation the evening before saves a lot of trouble.
- Pick one group coordinator. One person talks to the driver, and everyone else talks to the coordinator.
- Share a simple plan. Pickup order, timings, lunch stop and return time in one WhatsApp message.
- Share pickup pins, not just area names. Mumbai has many lanes and similar landmarks.
- Keep ID cards handy for airport entry, temples and monument tickets.
- Pack for the weather. A light jacket for hill drives, an umbrella for the monsoon, and water for the road.
- Tell the driver about elders or children. He can plan stops and drive more gently.
Sample Group Trip Plans From Mumbai
Here are three realistic plans to give you ideas.
1. Office offsite to Lonavala (one day)
Leave by 7:00 AM to beat the traffic. Visit a viewpoint and the caves in the morning, have a long lunch, then spend the afternoon on team activities. Start the return by 4:30 PM so you reach Mumbai before the evening rush. Read more on our Force Urbania on rent in Lonavala.
2. Family pilgrimage to Shirdi (two days)
The drive is around 240 km and takes roughly 5 to 6 hours. Leave early on day one, do darshan the same evening or next morning, and return after a relaxed breakfast. Elders will thank you for the night stay. See our Shirdi Urbania and, for a Nashik and Trimbakeshwar add on, our Nashik.
3. Weekend hill break to Mahabaleshwar (two days)
This is a longer drive of roughly 265 km, so an early start and a night stay make it comfortable. Details are on our Mahabaleshwar. The cooler months are the best time to go, and our guide to the best places to visit in November in Maharashtra helps you pick a destination.
Heading to Pune instead? Our guides to the Mumbai to Pune cab and Pune to Mumbai cab routes cover the expressway drive, travel time and toll in detail.
Common Mistakes to Avoid
- Booking too late. Weekends, wedding season and festival weeks fill up. Book 7 to 15 days ahead for busy dates.
- Choosing a vehicle by price alone. A cheaper vehicle that is cramped for six hours costs you in comfort.
- Ignoring luggage. Bags piled between seats make the whole group tired.
- Not asking about extras. Toll, parking and night allowance can add up. Ask early.
- Changing the plan on the road without telling anyone. Extra stops are fine, but tell the driver and coordinator so timings stay realistic.
- Planning back to back stops. Group trips are slower than solo trips. Plan fewer places and enjoy them.
- Leaving the return too tight. Mumbai traffic can add an hour without warning.
When Another Vehicle Makes More Sense
An Urbania suits groups of roughly 9 to 16 people. For very large groups, such as a school trip or a society outing, a bus is more practical, and our bus on rent in Pune lists larger options. For budget focused groups, a tempo traveller can also work, and we are happy to compare both before you decide.

Frequently Asked Questions
How do I plan a group trip from Mumbai by Urbania?
Decide the trip type, count people and luggage, choose a realistic route and start time, then get a written quote and confirm with a small advance. Share the driver details and plan with your group before the day.
Can an Urbania pick up passengers from different parts of Mumbai?
Yes. Share every pickup point in advance so the order can be planned sensibly. Keep the number of pickups reasonable, since each one adds time.
What if my group size changes after I book?
Tell us as early as possible. A small change may be fine, but a big change may need a different vehicle size, which depends on availability on your date.
Is it cheaper to take one Urbania or several cabs?
For groups of ten or more, one vehicle is often easier to manage and usually works out well per person, especially once toll, parking and the hassle of coordinating multiple cars are counted.
Can the vehicle stay with us all day at an event or a trip?
Yes. A full day booking keeps the vehicle and driver with your group, and extra hour rules are explained in your quote.
Should I book a one way drop or a round trip?
If you are not returning to the same city, a one way drop is usually simpler. If you are coming back, compare a round trip package with a one way fare and choose the cheaper one for your plan.
What should I carry on a day trip?
ID cards, water, light snacks, any regular medicines for elders, a light jacket and an umbrella in the monsoon.
