A one day group tour sounds simple. Pick a place, hire a vehicle, go. But anyone who has organised one knows how it really goes. Half the group is late, the budget keeps changing, someone forgets the lunch plan, and the driver is waiting while you collect money on the roadside.

Most of this stress comes from poor planning, not from bad luck. This guide walks you through a one day group tour from Pune step by step: how to choose the destination, build a realistic timeline, pick the right vehicle, work out the real cost per person and avoid the mistakes that spoil a good day out.

We are Shelke Travels in Karve Nagar, and we have been moving groups around Maharashtra for more than 30 years. Office picnics, family reunions, school outings and society trips are a big part of what we do, so the advice here comes from real days on the road.

Who This Guide Is For

  • Office teams planning a team outing or picnic
  • Families organising a reunion or a festival day trip
  • Schools and colleges arranging a one day picnic
  • Housing societies, friend groups and bhajan mandals

If your group is between 6 and 50 people, the planning steps are the same. Only the vehicle and the budget change.

Step 1: Choose a Destination That Fits One Day

The biggest mistake in one day planning is picking a place that is too far. A good rule is that the drive should not be more than two to two and a half hours each way. Beyond that, your group spends most of the day inside the vehicle.

Here are destinations that work well for a one day group tour from Pune. Distances are approximate and change with traffic.

  • Lonavala and Khandala (about 65 km): The easiest and most popular choice. Good for every age group, with viewpoints, caves, food stops and plenty of space.
  • Lavasa and Pawna Lake (about 60 km): Better for a calm lakeside day and relaxed group activities.
  • Mulshi and Tamhini side (about 40 to 60 km): Greener, quieter and good for a nature day, especially after the rains.
  • Sinhagad Fort and Khadakwasla (about 25 to 30 km): Ideal if you want a short drive and a longer time at the destination.
  • Jejuri and nearby temples (about 50 km): A comfortable temple day for families with elders.
  • Theur, Ranjangaon and Morgaon (roughly 200 km round trip): A shorter Ashtavinayak plan for devotees. See our Ashtavinayak darshan guide for the full route.
  • Bhimashankar (about 110 km): Possible in a day, but start very early.

Mahabaleshwar and Shirdi are doable in a day but make it a long, tiring one. If you want a hill station, we usually suggest an overnight stay. See our Mahabaleshwar page for the details, or read our Shirdi group trip guide before deciding.

Step 2: Build a Realistic Timeline

A one day trip works best when the schedule has breathing room. Here is a sample plan for a Lonavala outing.

  • 6:30 AM: Leave Pune. Pick up everyone in a planned order.
  • 8:30 AM: Breakfast stop on the way.
  • 9:30 AM to 12:30 PM: Main sightseeing or activities.
  • 1:00 PM: Lunch, ideally booked in advance for large groups.
  • 2:30 PM to 4:00 PM: One relaxed activity, shopping or free time.
  • 4:00 PM: Start the return.
  • 7:00 PM: Back in Pune.

A few timing rules help every group.

  • Start early. Weekend traffic builds up on the Expressway and ghat roads by 8:00 AM.
  • Plan fewer places. Three stops are enough. Groups walk slower, eat slower and take more photos.
  • Add a buffer. Keep 30 to 45 minutes spare, because someone will always be late.
  • Start the return before the evening rush. Coming back after 5:00 PM on a Sunday is slow.

Step 3: Pick the Right Vehicle for Your Group

Choose the vehicle by headcount and luggage, not only by price. Here is a simple guide based on our fleet. The β€œ+1 Driver” means the seat count is for passengers and the driver is extra.

  • Up to 6 people: Ertiga, Rumion or Innova Crysta from our car rental in Pune fleet.
  • 9 to 16 people: Tata Winger 9+1 or 13+1 Driver, or a Force Urbania in 9+1, 12+1, 13+1 and 16+1 Driver layouts. The Force Urbania on rent in Pune page explains the seating options, and it is the most comfortable pick for families and corporate teams.
  • 12 to 26 people: A tempo traveller in 12, 13, 17, 20 or 26 seat sizes. Our tempo traveller on rent in Pune page lists them all, and it works well when you carry bags, food boxes or music.
  • 27 to 50 people: A bus in 27, 32, 40, 45 or 50 seat sizes. See our bus on rent in Pune. This is the usual choice for school picnics and big office outings.

One tip we repeat to every group: do not fill every seat. Leave two or three seats free for bags, snack boxes and shopping, and the day feels far more comfortable.

Step 4: Work Out the Real Budget

This is where most groups get surprised, so let us break it down clearly.

How the Transport Cost Works

Our one day outstation package covers 300 km, and extra kilometres are billed at the per km rate. Fuel, AC, a verified driver and GPS tracking are included. Toll, parking, state permit and the driver night charge after 11 PM are extra at actuals.

For most one day trips from Pune, such as Lonavala, Lavasa or Mulshi, the round trip is well under 300 km. Please ask whether your shorter trip is billed at the package or on actual kilometres, and get the answer in your quote. If the package applies, use the day well, since you are paying for it anyway.

Per Person Cost Examples

These use the current rate chart for a one day 300 km package. They are base transport costs only, so toll, parking and food come on top.

  • 6 people in an Ertiga at β‚Ή4,500: about β‚Ή750 per person
  • 12 people in a 12 seater tempo traveller at β‚Ή8,100: about β‚Ή675 per person
  • 12 people in a 12+1 Driver Force Urbania at β‚Ή9,600: about β‚Ή800 per person
  • 17 people in a 17 seater tempo traveller at β‚Ή8,400: about β‚Ή495 per person
  • 32 people in a 32 seater bus at β‚Ή15,000: about β‚Ή470 per person
  • 50 people in a 50 seater bus at β‚Ή21,000: about β‚Ή420 per person

The pattern is clear. The bigger the group, the lower the transport cost per head. This is why a single vehicle almost always works out cheaper than three or four separate cabs, and nobody gets left behind.

A Longer Day Example

A one day trip to Shirdi is roughly 370 km round trip, so you pay for about 70 km beyond the package. For 17 people in a 17 seater tempo traveller, that is β‚Ή8,400 plus around β‚Ή1,960 for the extra km, or roughly β‚Ή10,360 in total. That comes to about β‚Ή610 per person before toll and parking. Keep the return before 11 PM so a driver night charge does not apply.

These are planning figures, not a final quote. Always confirm the exact fare for your date and route.

The Budget Checklist

Use this list to make sure nothing is missed when you split costs.

  • Vehicle hire: base fare for your trip
  • Toll charges: both directions on highways
  • Parking: especially at hill stations and popular attractions
  • Extra kilometres or extra hours, if your plan runs long
  • Driver night charge, if you return late
  • Breakfast, lunch and snacks for everyone
  • Entry tickets, ferry or ride charges
  • Activities such as boating, games or a guide
  • A small tip for the driver, if your group wishes to
  • A 10 percent buffer for anything unexpected

Add the total, divide by the number of people, and tell everyone the amount clearly before the trip. Collecting money in advance keeps the day relaxed.

The Transport Planning Checklist

One week before

Two days before

  • Share the final plan and pickup order with the group
  • Collect the money and confirm the final headcount
  • Book lunch in advance for large groups

The evening before

  • Get the driver name, phone number and vehicle number
  • Send the pickup pins to the driver and the group
  • Remind everyone to carry water, ID, medicines and a light jacket

On the day

  • Keep one person as the group coordinator
  • Start on time and do a headcount before leaving each stop
  • Tell the driver about any change in plan

Common Mistakes to Avoid

  1. Choosing a place that is too far. A long drive eats the fun.
  2. Booking too late. Weekends and festival days sell out early.
  3. Ignoring luggage. Bags between seats make everyone tired.
  4. Forgetting the extras. Toll, parking and food can add a lot.
  5. Too many stops. Fewer places, enjoyed properly, beat a rushed list.
  6. Leaving the return too late. Evening traffic and the night charge both hurt.
  7. No single point of contact. The driver should hear from one person, not ten.

Tips for Different Types of Groups

Office outings. Keep the schedule simple and include a quiet lunch stop. Fix the pickup point near the office or a central landmark, and start early so the team is back before the evening.

Families with elders and children. Choose a shorter drive and add more rest stops. Seat elders near the front and keep medicines handy.

School and college trips. A bus with an experienced driver and a clear head count at every stop keeps parents comfortable. Share the student list and timings with us in advance.

Societies and friend groups. Decide the budget and plan upfront, so there is no confusion about who pays what.
