Maharashtra Group Tour Planning: Vehicle, Budget and Itinerary Checklist

Every group trip starts the same way. Someone creates a WhatsApp group, fifteen people say “I’m in”, and then nobody knows who is booking the vehicle, how much each person should pay or where the group is actually going on day two.

We have been running group trips out of Pune for more than 30 years at Shelke Travels, from family pilgrimages and college picnics to company offsites and wedding groups. This guide puts everything we tell our customers on the phone into one place: how to choose the right vehicle, how to build a budget that does not fall apart halfway, which itineraries work best from Pune, and a simple checklist so nothing is missed.

If you are planning Maharashtra group tour logistics for the first time, read it top to bottom. If you have done this before, jump straight to the itineraries or the checklist.

Step 1: Fix the Basics Before You Book Anything

Most group trips go wrong because the basics were never locked. Before you call any travel company, get answers to these five questions from your group.

1. Final headcount. Not “around 15”. Get a confirmed number and add one or two seats as buffer. People drop out, but people also add a cousin at the last minute.

2. Travel dates. Weekends, long weekends, Diwali, Christmas and the wedding season fill up first. If your dates fall in any of these, start booking 3 to 4 weeks early.

3. Type of trip. A temple trip, a hill station holiday and a corporate offsite need very different plans. Pilgrimage trips run on darshan timings, hill station trips run on weather, and office trips run on meeting schedules.

4. Age mix. A group with elders and small kids needs more stops, shorter driving days and a more comfortable vehicle. A group of college friends can handle a long drive with fewer breaks.

5. Who is the trip leader. One person should talk to the travel company, hotels and the driver. When five people call the driver with five different plans, the trip gets delayed.

Step 2: Choose the Right Vehicle for Your Group Size

The vehicle decides how comfortable your trip feels, especially on long drives and ghat roads. Here is the simple rule we use when customers ask us which vehicle to book.

1 to 4 people

A sedan like the Swift Dzire on rent in Pune is enough for small family trips and quick outstation drives.

5 to 7 people

An SUV or MUV works best here. The Toyota Innova Crysta on rent in Pune is the most requested choice for family outstation trips because of its space, smooth ride and luggage room.

9 to 16 people

This is where most group tours fall. You have two good options:

  • Force Urbania: a premium van with captain style reclining seats, individual AC vents and a quiet ride. Ideal for families with elders and corporate groups. It comes in 9+1, 12+1, 13+1 and 16+1 Driver layouts. See all options on our Force Urbania on rent in Pune.
  • Tata Winger: a compact and budget friendly option for smaller groups. Read more about Tata Winger on rent in Pune.

12 to 26 people

A tempo traveller is the classic choice for Maharashtra group tours. It has pushback seats and a roof carrier, which matters when every person brings a bag. A 17 seater tempo traveller is the most booked size for weekend group trips. You can compare every size on our tempo traveller on rent in Pune.

27 to 50 people

For school trips, company outings and large wedding groups, a bus is the only practical option. A 32 seater bus on rent in Pune suits mid size groups, while 40 and 50 seater buses handle full class or full office trips. All options are on our bus on rent in Pune page.

Urbania or tempo traveller: which one should you pick?

If comfort is the priority and your group has elders or corporate guests, choose the Urbania. If you have more people, more luggage and want to keep the per head cost lower, choose the tempo traveller. For a group of 13 people with normal luggage, both work well, so the decision usually comes down to budget.

One vehicle or two cars?

Many groups of 10 to 12 people think about booking two Innovas instead of one Urbania. In most cases one larger vehicle works out cheaper, keeps the whole group together and means you only coordinate with one driver. Two cars only make sense when part of the group needs to leave early or take a different route.

Step 3: Build a Realistic Maharashtra Trip Budget

A group trip budget has five parts. Most people only count the first one and get surprised later.

1. Vehicle rent. Outstation vehicles are billed per km, with a minimum of 300 km per day. So even if you travel only 200 km on a day, you pay for 300 km. Current starting rates at Shelke Travels are β‚Ή27 per km for a 12 or 13 seater tempo traveller, β‚Ή28 per km for a 17 seater tempo traveller, β‚Ή31 to β‚Ή33 per km for Force Urbania, and β‚Ή50 per km for a 32 seater bus. The full rate chart is on.

2. Toll, parking and permits. These are paid at actuals. The Mumbai Pune Expressway, the Pune Satara highway and the Nashik highway all have tolls. Hill stations like Mahabaleshwar and Panchgani also collect an entry fee for tourist vehicles. If your trip goes outside Maharashtra, for example to Goa, a state permit is added.

3. Driver night charges. On multi day trips the driver stays with your group, so a fixed night charge is added per night. Ask for this amount in the quote itself.

4. Stay. For groups, booking a full villa, homestay or a block of rooms is usually cheaper than separate hotel rooms. Check that the hotel has parking for a large vehicle, because many hotels on narrow hill roads do not.

5. Food, entry tickets and a buffer. Keep 10 to 15 percent extra in the budget for things nobody planned: an extra viewpoint, a late checkout or a longer route because of traffic.

Example: 2 day Mahabaleshwar trip for 15 people from Pune

Here is how the transport cost works out in a real booking.

  • Vehicle: 16+1 Driver Force Urbania at β‚Ή33 per km
  • 2 day package: 600 km minimum, which covers the Pune to Mahabaleshwar round trip and local sightseeing
  • Vehicle rent: 600 Γ— 33 = β‚Ή19,800
  • Add tolls, parking, Mahabaleshwar entry fee and one driver night charge at actuals
  • Transport cost per person: roughly β‚Ή1,400 to β‚Ή1,500 including extras

The same trip in a 17 seater tempo traveller at β‚Ή28 per km comes to β‚Ή16,800 for the vehicle, which brings the per head transport cost down further. This is why bigger groups almost always save money by choosing one larger vehicle.

How to collect money from the group without fights

Collect a fixed advance from every member as soon as dates are confirmed. Use one shared expense app or a simple sheet. Pay the vehicle and stay advance from this pool, and settle food and small expenses at the end of the trip. This one habit removes most group trip arguments.

Step 4: Ready Itineraries for Group Tours from Pune

These are the routes our drivers run every week. Distances are approximate road distances from Pune.

1 day trip: Lonavala and Khandala (about 65 km)

Start early, around 6:30 am, to beat expressway traffic. Cover Bhushi Dam, Tiger Point, Lion’s Point and the Karla caves, then shop for chikki on the way back. In the monsoon, viewpoints get crowded after 11 am, so plan the popular stops first. Book a Force Urbania on rent in Lonavala for a comfortable day out.

2 day trip: Mahabaleshwar and Panchgani (about 120 km)

Day 1: Leave Pune by 7 am, breakfast on the way, reach Panchgani for Table Land and Sydney Point, then check in at Mahabaleshwar and catch sunset at Bombay Point. Day 2: Venna Lake, Mapro Garden, Arthur’s Seat and Pratapgad fort if the group is up for it, then head back by evening. Ghat roads here are narrow, so an experienced driver matters. See our Force Urbania on rent in Mahabaleshwar page.

2 day trip: Ashtavinayak Darshan

All eight Ganpati temples can be covered in two days with an early start and a night halt near Ozar or Lenyadri. Plan the order around temple timings and avoid Sankashti and festival days unless your group is ready for long queues. Book through Force Urbania on rent for Ashtavinayak.

3 day trip: Nashik, Trimbakeshwar and Shirdi

Day 1: Pune to Shirdi (about 185 km), evening aarti at the Sai Baba temple. Day 2: Shirdi to Nashik, Trimbakeshwar Jyotirlinga, Panchavati and Ramkund. Day 3: A vineyard visit or Someshwar waterfall, then back to Pune. Online darshan passes at Shirdi save hours on busy days. See Force Urbania on rent in Shirdi and Force Urbania on rent in Nashik.

3 day trip: Chhatrapati Sambhajinagar (Aurangabad), Ajanta and Ellora

Day 1: Pune to Chhatrapati Sambhajinagar (about 235 km), Bibi Ka Maqbara in the evening. Day 2: Ellora caves, Grishneshwar Jyotirlinga and Daulatabad fort. Day 3: Ajanta caves and return. Keep in mind that Ellora is closed on Tuesdays and Ajanta is closed on Mondays, so plan your dates around this. Our Force Urbania on rent in Aurangabad has more details.

3 to 4 day trip: Konkan coast (Ganpatipule, Ratnagiri)

A great choice for groups who want beaches without going to Goa. The route through the ghats is scenic but slow, so keep driving days short and avoid driving after dark on ghat sections. Konkan is at its best from October to February.

For longer beach holidays, many of our groups go further to Goa. Read about Force Urbania on rent in Goa for permits and timings.

Step 5: Pick the Right Season

October to February is the best time for most Maharashtra group tours. The weather is pleasant, the hills are still green after the monsoon and roads are in good condition. This is also peak season, so book early.

June to September is monsoon season. Lonavala, Mahabaleshwar side roads and the Konkan look their best, but ghat roads can see landslides and fog. Start early, avoid night driving and keep one flexible day in your plan.

March to May is hot in most of Maharashtra. Hill stations still work well, but pilgrimage and heritage trips to Shirdi, Nashik or Ajanta are tiring in the afternoon heat. Plan sightseeing for mornings and evenings.

The Complete Maharashtra Group Tour Checklist

  • Collect advance from every member
  • Book the vehicle and get a written quote with per km rate, minimum km, toll, parking, permit and driver night charges

  • Make a list of members with emergency contact numbers
  • Ask elders to pack regular medicines for every day of the trip

1 day before the trip

  • Get the vehicle number and driver name and number
  • Confirm the pickup time with the driver directly
  • Keep ID proof for every member (hotels ask for it)
  • Pack a small first aid kit, motion sickness tablets, water and snacks
  • Charge power banks and download offline maps

On the day of travel

  • Start on time; a 30 minute delay in the morning often becomes a 2 hour delay by evening
  • Do a headcount every time the group gets back in the vehicle
  • Let the driver take proper breaks every 2 to 3 hours on long drives
  • Keep cash for tolls, parking and small entry fees in case of network issues

Common Mistakes Groups Make (and How to Avoid Them)

Booking the smallest vehicle that fits. Fifteen people in a 13 seater with luggage is a long, uncomfortable day. Always leave one or two seats free.

Comparing only the per km rate. A lower rate with a higher minimum km or hidden charges can cost more. Compare the full trip cost.

Packing too many places into one day. Three main stops a day is plenty for a group. Large groups move slower than you expect.

Ignoring driver rest. A tired driver on a ghat road is the biggest safety risk on any trip. Do not plan to drive late every night.

Not confirming hotel parking. Many hill station hotels cannot park a tempo traveller or bus, which means walking with luggage at night.
